Hallmark Travel Planners Trip Cancellation & Rescheduling Policy

In the event that the client cancels or reduces the travel items booked, the following general cancellation policy will apply:

City and Town Hotels

All bookings, alterations and cancellations must be made in writing.

Cancellation and No Show Charges

More than 30 days from the date of accommodation 30% of the total bed-nights will be charged.
Between 30 and 7 days from the date of accommodation 50% of the total bed-nights will be charged
Between 7days- 2 days from the date of accommodation 75% of the total bed-nights will be charged
Within 48 hours from the arrival 100% of the total bed night costs will be charged

The above is a general policy. Specific hotels may place different terms depending on season or other circumstances like group size etc.

Safari Lodges and Camps

All bookings, alterations and cancellations must be made in writing.

Cancellation and No Show Charges:

More than 30 days notice – Deposit
Between 30 days and 7 days notice – 50% of the total cost
Between 7 days and 48 hours notice – 75% of the total cost
Less than 48 hours notice – 100% of the total cost.

The above is a general policy. Specific safari lodges, and camps may place different terms depending on season or other circumstances like group size etc.

Flights and Air Ticket Services

All bookings, alterations and cancellations must be made in writing.

Cancellation and No Show Charges

12 days before date of travel: Full Refund less a handling fee of $20 per ticket.
10 to 6 days before date of travel will be charged a handling fee of $50 per ticket.

Within 4 days before date of travel or any NO-SHOWS will be charged in full unless a passenger is unable to travel for health reasons. Refunds in this case will be considered on an individual basis however a handling fee of $30 per ticket is payable. Tickets are not transferable.

Please note that specific carriers / airlines may have additional /different cancellation policies that may apply.

Car Rental Services

All bookings, alterations and cancellations must be made in writing.

Cancellation and No Show Charges:

More than 30 days notice – Full Refund less any banking charges
Between 30 days and 48 hours notice – Full Refund less any banking charges
Less than 48 hours notice – 5% of the total cost.

Tour Packages and Safaris

All bookings, alterations and cancellations must be made in writing.

Cancellation and No Show Charges:

Cancellation made more than 57 days before departure date – Deposit is refunded
Cancellation made 43 – 56 days before departure date – 40% of full cost is charged
Cancellation made 29 – 42 days before departure date – 50% of full cost is charged
Cancellation made 15 – 28 days before departure date – 80% of full cost is charged
Cancellation made 1 – 14 days before departure date – 100% of full cost is charged
Cancellation made on the same day of departure or after tour has begun – 100% of full cost

Primate Permits ( Gorillas, Chimpanzees, etc)

For Gorilla/chimpanzee and other permits/fees, the rules may differ from destination to destination.  Please ask your consultant on what rule may apply for your particular case.

REFUNDS/CREDIT NOTES:

In all cases, refunds will be paid within 35 days from the date of cancellation.
